Cancellation Policy
Payment & Refund Policy for Tutoring Sessions • Parents/Students who wish to reserve a place for a one-hour private tutoring session must prepay. Students may elect to cancel or reschedule with no charge provided they have notified AEI via email (aeiacademicservices@gmail.com) by 8 P.M. of the previous business day. Cancellation after this time will be charged the full amount. • AEI understands that emergencies may arise, which may require cancellation after 8 PM. Parents/Students will be allowed one emergency excused absence. If the emergency cancellation is within twelve (12) hours of the scheduled session, the student will be allowed to reschedule the session. If the emergency cancellation is canceled within two hours of the scheduled session, $15 of the session cost will be deducted. The remainder of the prepaid fee can go towards a rescheduled session. • Medical emergencies may also arise. Therefore, if an appointment is canceled due to a medical emergency, student will need to email a certified doctor’s note for the full tutoring credit. If a doctor’s note is not received, the student forfeits the prepaid fee for that session. Payment & Refund Policy for Classes • Full payment for all classes is due at the time of booking. For AEI Academic Services, Inc. to continue providing quality education at reasonable prices, we cannot allow refunds for missed group classes. • If a parent/student desires to cancel a scheduled class, the parent can get a 50% refund if the cancellation is made 7 days prior to the scheduled class. No refund will be given within 7 days of the scheduled class. • If you would like to transfer a scheduled class session to another student, an email must be sent to aeiacademicservices@gmail.com 24 hours prior to the beginning of the first scheduled class. This email must come from the email that used to register for the course. No Show Policy/Late Arrivals Students with tutoring appointments have fifteen minutes to arrive after their scheduled appointment. If you do not arrive within the grace period of your scheduled session start time, you will be considered a “No Show”. Tutors are no longer obligated to meet with a student who arrives more than 15 minutes late for his/her session, but they may choose to do so at their discretion. Despite the arrival time, the session will end on time. Inclement Weather AEI will follow the local school system regarding closing for inclement weather. If the local school system closes due to weather, AEI will also be closed. You will automatically receive a credit and a rescheduled session. When AEI is closed due to weather, it will be stated on the front page of the website and a post will be made on our social media pages. Pick-Up and Drop-Off Although it is not necessary that you wait for your student to complete a tutoring session, AEI requires that you drop-off and pick-up your student in a timely manner. For every 10 minutes that you are late picking up your student, the parent will be charged $5. The next tutoring session will not be scheduled until this amount is paid. Lack of Effort AEI strongly believes that the only way tutoring will be successful is when the client makes an effort in every session and implements the strategies and materials given. If the teachers of AEI evaluate a client and determine the client is not making any effort, AEI will meet with the responsible party and cancel future scheduled sessions. AEI will refund the remaining paid sessions.
